Privacy Policy

This is a draft policy pending legal review, published ahead of launch so prospective customers can see how we intend to handle data.

[COMPANY NAME] ("we", "us", "our") is the data controller for personal data processed through Equinote, in accordance with UK GDPR and the Data Protection Act 2018.

What we collect

Account details for you and your practice (name, email, contact details); client, horse and visit records you enter into the Service on behalf of your practice; and usage data needed to operate and improve the Service.

Legal basis

We process account and billing data to perform our contract with your practice, and usage data under legitimate interests in keeping the Service reliable and secure. Client and horse data is processed on your practice's instructions, as data processor.

How we use it

To provide and support the Service, to communicate with you about your account, and — where you've agreed — to tell you about product updates.

Storage & security

Data is stored with reputable UK/EU-compliant hosting and file-storage providers, with access restricted to what's needed to operate the Service.

Retention

We keep your practice's data for as long as your account is active, and for a reasonable period afterwards in case you wish to reactivate or need an export, after which it is deleted.

Your rights

Under UK GDPR you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • request erasure of your data, subject to legal requirements;
  • receive a copy of your data in a portable format; and
  • object to certain kinds of processing.

Third parties

We use reputable UK/EU-compliant service providers to host the Service, send email and process payments. We don't sell your data to anyone.

Cookies

We use only strictly necessary cookies — to keep you signed in and to remember your light/dark appearance preference. No tracking or advertising cookies.

Contact & complaints

Questions or requests about your data can be sent to [email protected]. If you're unhappy with how we've handled your data, you also have the right to complain to the Information Commissioner's Office (ICO).
